The National Organization of Peer Educators (NOPE) is registered a Kenyan NGO with an international mandate. NOPE envisions, a world with healthy communities and sustained social development. NOPE seeks to recruit a Finance and Admin Manager, who will provide financial management and general administration services for NOPE, spearheading financial management, control and forward planning for finances in line with the NOPE strategy.

Duties and Responsibility

The job holder’s duties and responsibilities are outlined as follows:

  1. Overseeing all financial aspects of NOPE in the following ways:
  2. Developing, implementing and maintaining good financial policies and systems
  3. Managing the budgetary and forward planning systems and process including annual, quarterly and ad hoc budgets
  4. Reviewing donor contracts to ensure that budgets are in line with donor requirements
  5. Preparing NOPE standards of financial operations
  6. Providing operational financial support and guidance to senior managers on budgeting and financial performance
  7. Preparing periodic financial reports and interpreting the same to management
  8. Ensuring proper books of accounting are maintained and kept up to date
  9. Monitoring Overall financial performance and reporting
  10. Monitoring donor call down requests, cash flow planning
  11. Ensuring that statutory requirements are made in time
  12. Liaising with Internal and External auditors and responding to queries, observations, and recommendations
  13. Maintaining NOPE payroll and establishing staff payroll accounts
  14. Maintaining monthly reconciliation of all the payroll reports and control accounts
  15. Generating all payroll related expenditure i.e.,
  16. Overseeing the supplies function

Managing overall work process of the finance unit by ensuring effective work assignment, supervision, and staff development

Management of all administration aspects of NOPE in the following ways:

  1. Overseeing the general office administration at NOPE by managing office space, maintaining service contracts, managing office equipment and monitoring administrative costs.
  2. Implementing office administrative procedures and policies at NOPE including policies on communication, office security, travel, office cleanliness and health and safety
  3. Establishing & facilitating safety measures at NOPE including Annual Fire drills, Safety compliance programs, First Aid Activities etc.
  4. Assigning duties and supervising the Administration Officer

Job Specifications

The job holder must possess:

  1. A university degree in accounting, commerce or business
  2. Accountancy qualification (CPA(K), ACCA etc)
  3. Extensive experience in business, financial administration with at least 3 years at a senior management level
  4. Knowledge of and demonstrated experience in USG government compliance requirements
  5. Demonstrated experience in Microsoft Office, spreadsheet applications, and computerized accounting systems, in particular, QuickBooks with sound knowledge and experience of Performance Based Output Budget System
  6. Strong strategic advisory and analytical skills with a demonstrated ability to motivate teams and establish and implement work plan objectives
  7. The candidate should demonstrate maturity and courtesy and should be a team player. S/he should have high level of confidentiality/professionalism
  8. Have at least 5years experience working with local NGOs
  9. Fluent in English with excellent communications, presentation, and interpersonal skills.
  10. Membership of a recognized professional accounting institute is a must
